A Consultant – Design Documentation & Governance is responsible for reviewing and improving how functional and technical design documents are created, stored, and managed across products. The role focuses on establishing standard documentation practices, ensuring proper version control, governance, and accessibility, and working with product, technical, and delivery teams to maintain clear, structured, and consistent design documentation using tools like Confluence or SharePoint.
Consultant – Design Documentation & Governance
• The consultant will be responsible for reviewing, providing recommendations for standardising, and improving the way functional and technical designs are recorded, stored, and iterated across the product set. The consultant will work closely with product, technical, and delivery teams to establish a consistent documentation approach that enables effective version control, governance, and knowledge continuity.
Key Responsibilities
• Review current (‘as-is’) documentation practices across all products, including where and how functional and technical designs are stored, and the level of detail contained.
• Assess quality, completeness, and accessibility of existing technical and functional design documents.
• Develop recommendations for a standardised approach to design documentation, covering:
– What should be recorded in functional and technical designs.
– Expected structure, level of detail, and mandatory elements.
– Preferred storage locations (e.g., Confluence, SharePoint).
• Define a model for how design documentation should be iterated and managed as new product versions are released.
• Create a practical implementation plan, working with product and technical teams, to complete missing or incomplete design documentation.
Skills & Experience
• Strong background in business analysis, solution architecture, or technical documentation.
• Experience reviewing and improving documentation standards across multi-product environments.
• Understanding of functional and technical design practices, including versioning and governance.
• Ability to collaborate with product, engineering, and delivery teams to establish shared approaches.
• Excellent written communication skills and ability to produce clear, structured guidance materials.
• Experience using Confluence, SharePoint, or equivalent documentation repositories.
